Fox Transfer Email Parser

The Fox Transfer Email Parser automates order creation by using Regular Expressions (regex) to extract key data points from incoming booking emails and instantly sync them with RideSuite. 

Prerequisites

Before the parser can begin processing your data, you must ensure that your company has configured the necessary email forwarding rules. This allows booking confirmations to reach the parser's inbox automatically.

Agency Assignment & Currency

The parser is designed to intelligently categorise orders based on the currency detected within the booking email. This ensures your financial reporting and agency tracking remain accurate:
  1. EUR Bookings: If the booking currency is EUR, the order will automatically be assigned to the Fox Transfer EUR agency.
  2. USD Bookings: If the booking currency is USD, the order will automatically be assigned to the Fox Transfer USD agency.

How it Works

Once an email hits the parser's inbox, the system begins identifying and mapping the booking details.
  1. Extraction: The parser identifies the currency and trip details.
  2. Creation: The booking is routed to the correct agency (EUR or USD).
  3. Delivery: After a short processing window, the bookings appear in RideInbox > New Orders.
  4. Processing Time: Please allow 2–5 minutes for all records to be fully generated and visible in your dashboard.

Handling Changes

RideSuite doesn't currently support handling changes directly from Fox Transfers. Amendments will need to be handled manually as explained in this article

Handling Cancellations

Cancellations are not automatically handled for Fox Transfers. To cancel a booking, you must manually cancel the order in RideHQ.

Vehicle Mapping

To ensure bookings are processed correctly, Fox Transfer vehicle types and classes are mapped to specific RideSuite Vehicle Categories. The parser handles vehicle selection by looking at two specific areas of the booking email:
  1. Vehicle Category: The system maps Fox Transfer's vehicle category (Private Transfer or VIP Transfer) based on the category listed in the email.
  2. Maximum Capacity: While the category is mapped, the parser specifically looks at the booking notes to extract the maximum passenger capacity. This ensures the correct vehicle size is allocated regardless of the generic category name.

Reporting Changes

Please notify us immediately if you become aware of any updates to the formatting or email structure provided by the agency. Changes to the booking email can break the parser and disrupt the workflow.
