Rate Cards in RideRates are generated using a simple step-by-step wizard. Here’s how to create one:

Step-by-Step Rate Card Creation

1. Click the 'New Rate Card' Button: Start by creating a new Rate Card.
2. Select a Gateway and Currency: Choose the gateway (e.g., airport, port) and the currency for the Rate Card.
3. Name Your Rate Card: Give your Rate Card a unique name for identification.
4. Add Vehicle Types: Select the vehicle types from your fleet that you wish to include in the Rate Card.
5. Add Formula Pricing: Set up formula-based pricing for each vehicle type. The available formula variables are:
   • Initial Price: A base fee charged at the start of each ride. A higher initial price results in a larger penalty for short rides and a better discount for longer journeys.
   • Minimum Price: A guaranteed minimum rate for any ride, regardless of distance or duration.
   • Price per km: The charge per kilometer, rounded to the nearest kilometer.
   • Price per hour: The charge per hour, calculated to the nearest minute.
6. Add Extras: Choose extra services (e.g., luggage, child seats) from the list of Extra Types to include in the Rate Card. Specify unit prices and maximum capacities for each extra.
7. Create the Rate Card: Once all the details are filled in, click 'Create Rate Card' to generate a grid view with the data provided during the wizard.
   

Formula Pricing vs. Manual Pricing

We recommend using formula pricing to generate Rate Cards, as it automatically adjusts rates based on your set formulas. However, you can also enter prices manually if preferred by leaving the formula pricing step blank.

Rate Card Grid View

Once the Rate Card is created, the Rate Card grid view displays the data and rates for each vehicle type. Here’s how to manage rates and routes:

Adding Routes

1. Click the 'Edit' button to edit the Rate Card.
2. Click 'Add Route': In the grid view, click the 'Add Route' button to add routes for the selected gateway.
   
3. Select the Route: Choose the route from the available options.
4. Add More Routes: To add additional routes, click the 'Add' button.
5. Close the Popup: Click 'Add & Close' to close the popup when done.
   

Adjusting Rates

Once routes have been added, you can adjust the rates by either:

• Adjusting Formula Variables: Modify the formula variables at the top of each column to see the effect on rates for each vehicle type.
• Amending Specific Rates: Manually change a rate in the grid to override the formula pricing. Cells with manually entered rates will turn blue to indicate the change.
  

Managing Extras

In the Extras grid, you can:

• Add or Remove Extras: Click the 'Edit Extras' button to modify the list of available extras.
• Adjust Prices and Capacities: Change unit prices and maximum capacities directly within the grid.

Rate Card Settings

Above the grid, you can:

• Edit the Rate Card Name: Update the name of your Rate Card.
• Change the Status: Modify the Rate Card's status. The available statuses are:
  • Draft: The Rate Card is still being worked on and is not yet active.
  • Live: The Rate Card is active and can be added to Contracts and Price Lists.
  • Archived: The Rate Card is no longer in use.

Note: Only Live Rate Cards can be added to Contracts and Price Lists.
