What is a Sales Order?

Sales Order (SO) is an accounting document that records the types, quantities, and agreed prices of services to be provided by a seller.

In RideSuite, a Sales Order acts as a financial summary around a Works Order, which typically contains details of a specific journey scheduled for a particular date. While the Sales Order includes financial data, the operational requirements, or ‘ride’ details, are managed within the Works Order.

Draft Sales Orders are automatically generated in RideInbox when an external order or purchase order is received. When a user accepts the originating external or purchase order, the Sales Order status updates to Confirmed and is the record users see in RideHQ. 

Sales Order Statuses

  • Draft: A new Sales Order that hasn’t yet been accepted.
  • Confirmed: The Sales Order has been accepted.
  • Ready to Invoice: The Sales Order status updates to "Ready to Invoice" once the ride status is marked as Completed.
  • Requires Review: If the ride status is marked as Cancelled, the Sales Order status updates to Requires Review.
  • Invoiced: Sales Orders added to invoices in the Billing section are marked as Invoiced.
  • Cancelled by Buyer: The Sales Order was cancelled by the buyer (e.g., the customer).
  • Cancelled by Seller: The Sales Order was cancelled by the seller (e.g., your company).
  • Superseded: The Sales Order has been modified and replaced by a new Sales Order.
  • Archived: Old Sales Orders that are no longer active.
