How to use Inbox

How to use Inbox

Inbox is accessed from the left-hand menu in RideInbox. It serves as a basic email system designed to manage booking-related email correspondence, including enquiries, new orders, changes, cancellations, complaints, and other booking-related communications.

Setting Up Email Forwarding

Once you have a RideSuite account, you can forward emails from your regular email account to RideInbox. We recommend setting up an email forwarding rule in your business email account to automatically redirect booking-related emails to RideInbox. The RideInbox email importer recognises popular booking formats and prepares them for easy order processing.

Our technical team regularly adds new import templates, expanding the range of booking emails that can be automatically processed and imported.

Reading Emails

To open and read an email, simply click on the row containing the email.

While viewing an email, you have several options:
  1. Mark as Read/Unread: Toggle the email’s status.
  2. Add a Star/Tick: Flag important emails for easy identification.
  3. Delete: Remove an email from the inbox.

Associating Email with Bookings

For better organisation, you can:
  1. Associate the Sender’s Email Address with a Partner: Link the sender to a specific partner in your system.
  2. Add a Booking Reference: Link the email to a specific booking.
  3. Categorise the Email: Classify the email as one of the following:
    1. New Orders
    2. Changes
    3. Cancellations
    4. Feedback
    5. Complaints
    6. Other
This categorisation ensures the email appears in the corresponding processing tab for efficient management.

Automating Booking Imports

For high-volume senders, we’ve developed custom email parsers that automate the import process, helping to streamline bookings. If you are unsure whether your email sources are supported, reach out to our support team for more information about the organisations from which we automatically import emails.
