Allocating Rides

Accessing the Allocate Section

The Allocate section can be accessed via the left-hand menu in RideManager. This section displays a paginated list of rides that have been created or accepted in RideInbox but are yet to be allocated to a partner within RideSuite.

Each record in the Allocate list represents a ride awaiting allocation. To view more details, simply click on a record to open the Purchase Order Detail View.


Purchase Order Detail View

In RideManager, the Purchase Order Detail View presents all purchase orders and rides associated with a specific customer booking reference. This view consolidates related rides under the same booking reference, providing a holistic view of the booking rather than isolating each ride.

Allocating a Purchase Order to Partners

A Purchase Order and its associated rides can only be assigned to eligible partners. Eligible partners appear as bars on the left hand side panel. Each bar represents a partner that:

  1. Is linked via RideConnect.
  2. Provides services from the required gateway specified in the booking.

Partner Eligibility and Rate Indicators

If rates have been pre-arranged between the organisation and the partner, a coloured section appears on the partner bar, indicating the rate status:

  • Green Dot: Indicates that all necessary rates (for the route and any requested extras) are available.
  • Yellow Dot: Indicates that some rates are missing. Missing rates may be due to:
    • The partner does not offer the requested vehicle type.
    • The partner does not support one or more requested extras.
    • The partner has not set a rate for the specific route but does offer rates for other routes from the same gateway.

Note: Missing rates can be manually added or overridden if needed. Once any missing rates are resolved, the Allocate button becomes active. If no rates have been agreed upon with a partner, all required rates will need to be entered manually.


Completing the Allocation Process

Once allocated, the purchase order appears in the New Order section of the partner’s RideInbox account, notifying them of the assignment.

Revoking Purchase Orders

If the buyer needs to take back the PO for reassignment, the revoke action will need to be taken: 

  • Click the green 'Revoke' button in the left hand side panel. 
  • The system will:
    • Remove the fleet's SO from their RideInbox.
    • Create a new draft PO in the RideManager ‘Allocate’ section.

Future Enhancements: Automated Allocation Rules

RideManager will soon introduce options for default allocation rules and custom allocation logic, allowing users to automate the allocation process based on predefined criteria across their supplier network. This feature will streamline the allocation workflow, saving time and ensuring consistent allocation practices.
